To spot the error. To explain the rule. To help someone sound more correct.<\/p>\n\n\n\n<p>I was good at it. But something felt off. Because the professionals I worked with didn\u2019t come to me for grammar. They came to me because they were exhausted.<\/p>\n\n\n\n<p>Exhausted by the weight of writing one email for 20 minutes. Exhausted by re-reading every sentence before pressing send. Exhausted by the quiet voice that said: \u201cThis still doesn\u2019t sound right\u201d.<\/p>\n\n\n\n<p>The rise of AI has helped in some way \u2013 fixing grammatical, spelling, and to some extent tone issues is a lot easier these days. But the second-guessing hasn\u2019t stopped.<\/p>\n\n\n\n<p>So, I stopped correcting. Instead, I started adding tools instead.<\/p>\n\n\n\n<p>This is a story about one of those professionals. Let\u2019s call her C\u00e9line.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The problem (in C\u00e9line\u2019s words)<\/strong><\/h2>\n\n\n\n<p>C\u00e9line is a senior project manager at a leading financial services company in Paris. She has used English professionally for over a decade. She understands everything. She reads complex reports without issue.<\/p>\n\n\n\n<p>But writing emails is her stumbling block. During our first conversation she said: \u201cI spend so long on every email. I read it again and again. I change words. I change them back. I\u2019m never sure if I sound rude or unprofessional. Sometimes I just don\u2019t send it at all.\u201d<\/p>\n\n\n\n<p>She showed me an example. But it doesn\u2019t right \u2013 it\u2019s not my voice. And I hate saying \u2018sorry\u2019. But I don\u2019t know what else to put.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What we didn\u2019t do<\/strong><\/h2>\n\n\n\n<p>I want to be clear about what didn\u2019t happen next.<\/p>\n\n\n\n<p>We did not:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Drill grammar rules<\/li>\n\n\n\n<li>Study verb tenses<\/li>\n\n\n\n<li>Practise \u201cmore professional\u201d vocabulary lists<\/li>\n\n\n\n<li>Compare her email to a \u201cnative speaker\u201d version<\/li>\n<\/ul>\n\n\n\n<p>None of those would have helped C\u00e9line because her problem wasn\u2019t knowledge. It was ease.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What we did (three small shifts)<\/strong><\/h2>\n\n\n\n<p>We looked at her email together. Not as something to fix. As something to add to.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><em>Shift 1: Remove the unnecessary apology<\/em><\/h3>\n\n\n\n<p>C\u00e9line\u2019s email contained \u201cSorry if this is inconvenient for you\u201d. I asked her: \u201cIs this true? Are you sorry? Or are you just used to apologising?\u201d<\/p>\n\n\n\n<p>She said: \u201cI\u2019m not sorry. I just need to move the meeting.\u201d<\/p>\n\n\n\n<p>So, we removed the apology. Nothing replaced it. Just silence where the sorry used to be.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><em>Shift 2: Replace a weak opener with a clear one<\/em><\/h3>\n\n\n\n<p>\u201cI think maybe we should change the time\u201d \u2192 \u201cI suggest changing the time\u201d<\/p>\n\n\n\n<p>No loss of politeness. Just more clarity. C\u00e9line worried this sounded too direct. I asked her to try it once. Just once.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><em>Shift 3: Add a simple next step<\/em><\/h3>\n\n\n\n<p>\u201cPlease let me know what you think\u201d \u2192 \u201cDoes 2pm work for you?\u201d<\/p>\n\n\n\n<p>Same request. But now the colleague had something specific to answer. Less work for them. Same C\u00e9line. Just three small tools added.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The result (in C\u00e9line&#8217;s words)<\/strong><\/h2>\n\n\n\n<p>She sent the email. Then she wrote to me: \u201cI almost added \u2018sorry\u2019 three times. I didn\u2019t. No one said anything. No one thought I was rude. The meeting got moved. That\u2019s it.\u201d<\/p>\n\n\n\n<p>A week later, she told me: \u201cI\u2019m not writing perfectly now. But I\u2019m writing faster. And I stopped apologising before I even start. And I don\u2019t rely on AI to speak for me. That\u2019s new for me.\u201d<\/p>\n\n\n\n<p>I realised that C\u00e9line hadn\u2019t become a different English user. She\u2019d became a lighter one.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What this taught me<\/strong><\/h2>\n\n\n\n<p>C\u00e9line didn\u2019t need more English. She needed:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Permission to remove apologies<\/li>\n\n\n\n<li>One or two clear structures to trust<\/li>\n\n\n\n<li>Someone to say: \u201cTry this. See what happens. No pressure.\u201d<\/li>\n<\/ul>\n\n\n\n<p>That\u2019s what I mean by adding tools. Not fixing. Not correcting.<\/p>\n\n\n\n<p>Just placing something useful in someone\u2019s hand and saying: \u201cYou already have so much. Here\u2019s one more thing. Use it if it helps.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Your turn<\/strong><\/h2>\n\n\n\n<p>Does any of this sound familiar?<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Spending too long on short emails?<\/li>\n\n\n\n<li>Apologising when nothing is wrong?<\/li>\n\n\n\n<li>Worrying you sound rude or unprofessional?<\/li>\n<\/ul>\n\n\n\n<p>You don\u2019t need more grammar. You might just need a few tools. And permission to try them.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>A final thought<\/strong><\/h2>\n\n\n\n<p>\u201cYou are not an email to be corrected.
